Position Overview:
We are seeking a meticulous, customer-oriented, and highly organized Bookings Clerk to join our retail team in Garsfontein. This pivotal role sits at the heart of our dealership’s service operations, acting as the first point of contact for our valued aftersales customers. The primary purpose of this position is to professionally manage the service reception area, ensuring a seamless and welcoming experience for both telephonic and walk-in clients. You will be responsible for the efficient coordination of all workshop bookings and related administrative functions, playing a direct and vital role in ensuring our aftersales customer experience not only meets but consistently exceeds expectations. Your ability to manage logistics, communicate effectively, and maintain impeccable administrative standards will directly contribute to the smooth flow of workshop operations and overall customer satisfaction.
Key Responsibilities and Specific Role Duties:
Customer Interface and Booking Management:
· Professionally greet and assist customers upon their arrival at the service department, creating a positive first impression.
· Efficiently answer all incoming calls to the service department with a courteous and helpful demeanor.
· Schedule and coordinate bookings for customers requiring vehicle service, maintenance, or repairs, optimizing workshop capacity and customer convenience.
· Proactively contact customers regarding manufacturer service campaigns or recall notices and arrange subsequent bookings.
· Notify clients when ordered parts have arrived and schedule fitting appointments to minimize vehicle downtime.
Administrative Coordination and Planning:
· Prepare, finalize, and circulate the detailed planning list for the following day’s scheduled bookings to all relevant stakeholders within the dealership, including workshop foremen, technicians, and parts department staff.
· Pre-print job cards in advance for all confirmed bookings to ensure workshop readiness and efficiency at the start of each business day.
· Maintain and update physical or digital workshop planning boards to provide a clear, real-time visual overview of the daily schedule.
· Accurately and professionally type, file, store, and manage all relevant documentation, ensuring easy retrieval for reference or auditing purposes.
· Conduct follow-up calls to customers to close service tickets and confirm satisfaction upon job completion.
Process Adherence and Communication:
· Ensure strict adherence to all company processes and dealership protocols that govern workshop bookings, customer communication, and the overall aftersales journey.
· Provide callers and in-person customers with precise, up-to-date information regarding services, wait times, and dealership promotions.
· Handle all communications professionally, taking accurate messages and relaying them promptly to the appropriate personnel.
· Perform general administrative duties as requested by service management to support departmental goals.
Qualifications and Experience:
Essential Requirements:
· A Senior Certificate (Grade 12) is a mandatory requirement.
· A valid, unendorsed driver’s license.
· Proven computer literacy, particularly in the Microsoft Office suite (Word, Excel, Outlook).
· A minimum of two years of experience in a Bookings Clerk or Service Reception role within a corporate or retail motor dealership environment.
Preferred Knowledge and Skills:
· Working knowledge and hands-on experience with a mainstream Dealer Management System (DMS) is considered a critical requirement for success in this position.
· Exceptional telephonic and face-to-face communication skills.
· Strong organizational and time-management abilities with a keen eye for detail.
· The capacity to work effectively under pressure in a fast-paced environment while maintaining a calm and professional attitude.
· A problem-solving mindset and the ability to manage multiple tasks simultaneously.
