Your Central Role in Workshop Efficiency – Position Overview:
This position is the vital administrative nexus of the workshop, requiring a meticulous and proactive individual to provide comprehensive support to the Workshop Department. Far beyond basic clerical duties, this role demands a high level of organization, communication, and system management to ensure workflow continuity, customer satisfaction, and strict adherence to Health and Safety administrative protocols. You will act as the primary point of administrative contact for technicians, buyers, managers, and customers, ensuring that every job card, spare part order, and customer query is tracked, updated, and communicated with unwavering accuracy. Your work ensures the workshop’s operational tempo is maintained, back-orders are managed proactively, and all stakeholders are kept informed, making you an indispensable component of the service delivery chain. Success in this role is measured by the smoothness of workshop operations, the clarity of reporting, and the positive feedback from both internal teams and external clients.

Detailed Responsibilities and Key Performance Areas:
Your day-to-day responsibilities will encompass a wide array of critical tasks central to workshop administration. A core function is the meticulous compilation and distribution of detailed reports. This includes generating daily reports on job statuses such as incoming, completed, and awaiting parts; weekly reports on spare part back-orders and external jobs; and comprehensive monthly summaries of all workshop activity. You will be responsible for compiling professional technical reports for customers based on technician findings and photographs. Customer communication is a continuous thread in your work, requiring you to provide daily, precise feedback on job and back-order statuses for all open work orders, diligently recording every communication in the Embrace ERP system. In the realm of spare parts, you will source quotes for non-stock items, manage the approval process, and handle the full ordering, GRV, and invoicing cycle for buyout spares. You will post labour entries for technicians, manage all workshop-related correspondence via email and telephone, and maintain an impeccably organized record of all interactions. General office administration, including stationery management and providing direct assistance to the Workshop Manager, will also fall under your purview.

Essential Qualifications and Experience Required:
To be considered for this integral role, candidates must possess a National Senior Certificate as a foundational educational requirement. A minimum of one year of proven experience in a similar administrative or workshop support role is essential, as the position requires familiarity with workflow processes, reporting, and parts administration. Practical, demonstrable proficiency in Microsoft Office, particularly Excel for reporting and data management and Word for professional communication, is non-negotiable. The ideal candidate will have exposure to or the capacity to quickly learn enterprise resource planning (ERP) systems, with specific training provided on the Embrace platform used for job card and communication logging.
