We are seeking a meticulous and proactive Administration Officer to provide comprehensive administrative support, ensuring the smooth and efficient functioning of our Kempton Park branch. This is a pivotal junior position where accuracy, system proficiency, and the ability to manage multiple priorities are paramount. The successful candidate will be the operational backbone of branch administration, handling everything from stock and freight control to system management and SHEQ compliance.

Job Purpose

The core purpose of the Administration Officer role is to deliver robust administrative support, guaranteeing all administrative functions within the branch operate seamlessly, comply with protocols, and meet strict deadlines, thereby contributing directly to operational excellence.

Main Responsibilities

The Administration Officer must possess an extensive understanding of all branch administrative requirements. While the primary duties are outlined below, it is essential that all allocated tasks are executed accurately, thoroughly, and in full compliance with established company procedures and timelines.

Administration Duties:

· Stock Order Management: Administer top-up stock orders in conjunction with the procurement department. This includes creating purchase orders, liaising with approved suppliers to place orders, and ensuring timely delivery to the branch.
· Outworks Administration: Manage the powder coating and cutting process. Responsibilities include arranging services, generating purchase orders, and executing precise stock transfers on SAGE Evolution. You will transfer mill stock to Work in Progress (WIP), process Bills of Materials, and conduct weekly WIP inventory reconciliations to ensure system accuracy.
· Inter-Branch Transfers (IBT): Administer all IBT processes on SAGE Evolution, including posting, receiving, and transferring stock. A key duty involves transferring IBT stock to WIP and posting Goods Received Vouchers (GRV) after warehouse checks.
· Freight & Logistics Control: Maintain daily control of branch freight administration. Update driver drop and mileage spreadsheets, capture fuel slips and waybills, and reconcile supplier invoices against freight data before posting on SAGE. Identify and report any irregularities to management promptly.
· Procurement Support: Order necessary packaging materials (SFK, bubble wrap, tape, pallets) and post corresponding GRVs on SAGE. Manage the ordering of branch PPE and stationery.
· Proof of Delivery (POD) Management: Control the branch POD system by reviewing documents for compliance, ensuring timely receipt cross-referenced with SAGE, and scanning/sending PODs to stakeholders as required.
· Reporting & Data Management: Generate and maintain critical reports including fleet drops and mileage, branch picking reports, workforce tracking, IBT corrections, and consolidated freight summaries. Accurately capture workforce and overtime data on SAGE and tracking spreadsheets.
· General Administration: Execute a variety of general administrative tasks to support branch operations. This includes systematic filing, sales order invoicing, archiving of historical documents, data capturing, assisting with IBT schedule planning, processing creditor statements, and completing any other ad-hoc administrative duties as required by the company’s needs.

SHEQ Integrated Management System Control:

· Ensure strict adherence to the OHS Act and all company policies and procedures.
· Take reasonable care for your own health and safety and that of others in the workplace.
· Cooperate with management to comply with all prescribed duties and health and safety requirements.
· Report any unsafe conditions, unhealthy situations, or incidents immediately to the employer.
· Actively participate in Integrated Management System activities and comply with all health and safety plans.
· Identify and formally report any opportunities for improvement, non-conformances, or incidents within your area of responsibility.
· Maintain high standards of customer service and ensure the administration department complies with health, safety, and hygiene standards at all times.

Requirements

Key Job Requirements:

Qualifications:

· Grade 12 certificate or equivalent qualification.

Experience:

· A minimum of 2 years’ experience in a directly similar administration officer or support role.
· At least 4 years’ total cumulative experience in a professional administration field.

Knowledge Requirements:

· Strong computer literacy with demonstrable, intermediate-level proficiency in MS Excel.
· Intermediate-level proficiency in SAGE Evolution or a similar ERP system (e.g., Pastel Evolution) is essential.
· Thorough practical knowledge of best practices in office and operational administration processes.
· A working awareness and understanding of the ISO Standard requirements relevant to the position and industry.
