Job Purpose
To deliver a precise, reliable, and efficient administrative service to the Avionics department management and team. The role encompasses the full spectrum of office administration, from coordinating financial processes and managing personnel records to facilitating communication and ensuring the smooth daily operation of departmental activities. The incumbent acts as a central hub for information and coordination, directly contributing to the team’s productivity and compliance.
Key Responsibilities
Financial and Cost Administration:
· Coordinate and secure cost approvals for component repair processes.
· Retrieve, compile, and capture annual budget information and motivational submissions.
· Generate accurate financial reports for relevant cost centres, investigating and resolving discrepancies in collaboration with management and the Finance Department to ensure proper cost allocation.
· Obtain and distribute telephone and cellular account reports for review.
Personnel and Human Resources Support:
· Compile and dispatch departmental signing sheets to HR, covering leave, sick notes, acting allowances, overtime, and administrative forms (Admin 6).
· Maintain and update personnel files for all departmental staff, ensuring completeness and confidentiality.
· Compile, coordinate, and manage training schedules, listings, and related reports.
· Coordinate mandatory medical examinations for departmental staff.
· Administer all functions related to staff permits and liaise regarding timesheets for contract workers.
Operational and Office Management:
· Extract, generate, and revise documentation for management review books as required.
· Oversee all administrative aspects of Occupational Health and Safety (OHAS) activities, including documentation provision and distribution.
· Manage office resources including the timely request, control, and collection of stationery and externally printed materials.
· Coordinate maintenance and service activities for fax machines, printers, and photocopiers.
· Organise diaries, schedule meetings, and manage boardroom bookings.
Administrative and Clerical Duties:
· Provide reception services for internal and external visitors, offering refreshments as appropriate.
· Perform typing, filing, and distribution of reports, correspondence, memoranda, and electronic communications on behalf of the Manager.
· Load, update, and verify Labour Reporting data.
· Uphold professional telephone etiquette as a first point of contact.
Qualifications and Experience
· Education: Grade 12 (Matric) National Senior Certificate or equivalent qualification is mandatory.
· Experience: A minimum of one year of proven administrative experience is required. Alternatively, a Secretarial Diploma or equivalent formal qualification will be considered.
· Technical Skills: Must be fully computer literate with demonstrable proficiency in the Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
· Licence: Possession of a valid, unendorsed South African Code B driver’s licence.
Required Knowledge and Skills
· Practical knowledge of general office administration principles and procedures.
· Foundational understanding of basic financial principles for reporting and reconciliation.
· Professional telephone etiquette and customer interaction skills.
· Fast and accurate typing skills.
· A developing understanding of SAAT as an organisation and its operational context is advantageous.
