Position Overview:
We are on the hunt for a full-time Finance & Office Administrator to join our young, dynamic team. This role is central to ensuring our financial operations run with precision and our office environment remains efficient and supportive. The ideal candidate will be a dual-threat professional: a tenacious and diplomatic debtors manager who ensures our cash flow is robust, and a highly organised administrator who provides seamless support to our management team. This is an in-office position in Sandton, and reliable personal transport is essential.
Key Responsibilities:
Debtors Management & Financial Administration:
· Own the full debtors’ lifecycle, from maintaining accurate customer files and contracts to executing systematic collection strategies.
· Proactively contact clients via email, phone, and other appropriate channels to collect outstanding payments with a balance of firmness and professionalism.
· Prepare and distribute client account statements and generate detailed debtors reports for weekly management meetings.
· Process customer invoices accurately and in a timely manner.
· Manage and execute weekly supplier payments and inter-bank transfers.
· Ensure all debit orders are processed efficiently ahead of strict month-end deadlines.
· Perform weekly reconciliations across multiple bank accounts to guarantee financial accuracy and consistency.
· Work closely with our external bookkeepers and accountants, providing them with precise data and documentation.
Office & Personal Administration:
· Provide comprehensive PA and diary management support to the management team, including scheduling appointments and coordinating itineraries.
· Serve as a key point of contact for client liaison, resolving general queries with exceptional service.
· Manage client web services administration as required.
· Handle general office administration, including filing, data-capturing, and supporting team operations.
· Maintain a calm and effective demeanour in our lively, sometimes unpredictable agency environment.
Requirements & Skills:
· A minimum of 2 years of specific, hands-on debtors management experience is non-negotiable.
· A relevant tertiary qualification in Finance, Administration, or a related field.
· Proven experience with accounting software; knowledge of the Xero platform is a significant advantage.
· Practical experience working with banking platforms, specifically FNB and Netcash.
· Exceptional communication skills—both written and verbal—with the persuasive ability to navigate sensitive financial discussions.
· A personality that is both likeable and stern, possessing a positive attitude alongside a strong, unwavering work ethic.
· A perfectionist’s eye for detail, coupled with superior organisational and time-management skills.
· A process-oriented, critical thinker capable of working independently and taking ownership of tasks.
