Main Purpose of the Job

The primary objective of the Reception Administrator is to manage all facets of the patient admission and discharge process with utmost professionalism and efficiency.   1. Management of Patient Admissions and Bookings
    You will be responsible for the accurate and timely capturing and processing of all patient admissions, including pre-admissions and scheduled bookings. This involves meticulous verification of patient details, medical aid information, and initial consent forms in strict accordance with the organisation’s detailed Patient Administration Manual. Your precision at this initial stage sets the tone for the entire patient stay and is critical for downstream billing and care coordination.
  2. Financial Risk Identification and Mitigation
    A key aspect of this role is proactively protecting the financial integrity of the organisation. You will rigorously adhere to policies concerning cash handling, the management of patients flagged on credit control systems like Debtpack Enquiry, and the protocols for blacklisted patients. By verifying funding sources, understanding co-payments, and ensuring all necessary financial agreements are secured upfront, you directly prevent potential revenue loss and manage the institution’s financial exposure.
  3. Execution of an Effective Discharge Process
    The discharge process requires careful coordination to ensure clinical readiness aligns with administrative completeness. You will facilitate final account preparations, explain statements to patients or families, process final payments or payment arrangements, and ensure all necessary documentation for medical aid claims is accurately compiled. This final interaction must be handled with clarity and sensitivity, leaving the patient with a positive lasting impression of their care journey.
  4. Upholding Patient Confidentiality and Ethical Standards
    You will handle sensitive personal, medical, and financial information daily. Required and Desired Qualifications

Essential Education:

Competency in Microsoft Office (Word, Excel, Outlook) is essential for communication and documentation.
· Healthcare Administration Knowledge: A working understanding of anatomy and medical terminology to accurately interpret and process information. Knowledge of ICD-10 and CPT coding principles is crucial for billing and claims.
· Policy and Procedure Adherence: In-depth knowledge of the Patient Administration Manual, encompassing protocols for admissions, discharges, bed management, cash handling, blacklisted patients, and the handling of patient valuables.
· Industry and Regulatory Insight: A solid grasp of the South African private healthcare environment, including the structures and requirements of major Medical Aid Schemes, and the processes related to the Workman’s Compensation Act (WCA).
· Risk and Crisis Management: The ability to identify potential financial risks during the admission process. Furthermore, you must be fully conversant with emergency and major incident protocols (e.g., for fire, floods, or security incidents) to ensure patient and staff safety.
